Company Data - Setup & Configuration

1 What company data is
Company data is your firm’s own layer on the map: a point for each job, site or asset, with a label and up to ten fields of your choosing. Only people in your firm see it. Once your jobs are on the map, everything you have done near the site you are looking at is a click away, and every field is searchable from the search box.

2 Who can set it up
The fields are set by an account administrator, on the Account page. Everyone in the firm can then add and edit points. If Account is missing from your menu, you are not an administrator: ask whoever manages your firm’s GRIP account.
3 Plan your fields
Every point has a Label, which is what shows on the map — usually the job number. The fields are everything else you want to be able to read and search.
- Up to ten fields, each with a name of your choosing: client, status, surveyor, phone, a link.
- A Link field holds a web address, and is clickable from the map. Use it for the project folder, a document system or a client portal. Include the https://.
- Only Active fields appear when people add or read a point.
- Keep it short. Three or four fields that everyone fills in beat ten that nobody does.
4 Set the fields up
- Open the menu at the top left and click Account.
- Click the Company Data tab.
- For each field you want, type a Field Name, tick Link if it will hold a web address, and tick Active.
- Click Apply.

The fields are available to everyone in the firm straight away, in Tools › Company Data on the map.
5 Loading the jobs you already have
Most firms have years of jobs in a spreadsheet, a CAD file or a job system. Email support@grip.co.nz and we will load them for you: CSV, shapefile, DXF and most other spatial formats are fine. We can also send you a full copy of your company data whenever you ask.
6 Getting the most from it
- Load everything. The value is in seeing every past job near the one you are working on.
- Agree a label convention — job number first — and keep to it, so searching stays predictable.
- Use colour and symbol for status or type, so the map reads at a glance.
- Link out to where the job’s documents live rather than typing detail into fields.

7 Quick answers
I cannot see Account in the menu.
Only account administrators can. Ask your firm’s GRIP administrator to make the change, or to make you one.
A field is not showing when we add a point.
It is not ticked Active, or Apply was not clicked.
Our link is not clickable.
Tick Link for that field, and include https:// in what is typed.
Can other firms see our data?
No. Company data is visible only to the people in your firm’s account.
